In the Personal workspace, TidyOne can store a receipt, invoice, warranty statement or insurance policy in a digital folder. Upload the original under Documents, review the AI suggestion and category, and check the expiry date in the viewer if one has been extracted. The Reminder button appears only for documents with a recognized date. If none is present, create a manual item under Notes & Reminders. Do not assume that AI establishes your legal rights or that the app delivers push notifications, SMS or email alerts.
Why a document and a verified deadline belong together
A thermal-paper receipt can fade, a warranty certificate may stay inside a product box, and an insurance policy can become buried in email. When an appliance fails or a renewal approaches, you need reliable evidence as well as the correct date. TidyOne separates these needs. Documents preserves the source file; Notes & Reminders records what you intend to do and when. Uploading a PDF does not automatically prove that a deadline was found or that a reminder exists.
This tutorial focuses on home electronics and appliances, but the approach also works for policies, contracts and other dated paperwork. Check the actual nature of each date: the end of commercial coverage, a contract-renewal deadline and the starting point for statutory consumer rights are different events. TidyOne is an archive and organizational aid, not an official warranty register or a service that automatically submits claims to retailers.
Before you start: gather the original evidence
Collect the invoice or receipt, delivery confirmation for online purchases, any separate commercial warranty statement and relevant manufacturer correspondence. Keep the merchant's original file and photograph a printed receipt before the ink fades. A readable photograph should show the seller, date, amount, document number and product name where they appear. If part of the paper is missing, you can preserve what you have, but do not treat the missing details as verified facts.
For a policy or service agreement, identify the clause that states the actual end date and any required notice period. The issue date may not be the beginning of coverage. For an online order, distinguish order date, invoice date and delivery date. Avoid uploading identity documents, passwords or unnecessary banking details simply to create a deadline. Keeping only information relevant to your purpose makes later organization and safe sharing easier.
Step 1 — Upload the original to Documents
Switch to Personal and open Documents. Select the Home Invoices & Warranties folder, then choose Choose file/PDF or Take a photo / scan. You can also reach the uploader through the global Add → Document action. Use the complete PDF for multi-page warranty terms. For a receipt, keep all corners visible, avoid shadows and make sure the numbers can be read at full size.
After upload, confirm that the document appears once in the archive. If the invoice is already present, do not upload it again merely to create a deadline: locate the existing file. A receipt may also support a personal expense. Before confirming any AI-generated financial record, check My money for that purchase. Keeping a backup image can be useful, but posting the same transaction twice makes your budget inaccurate.
Step 2 — Treat AI extraction as a draft
On a document card or in the viewer, choose Analyze with AI when offered. Depending on readability and document type, TidyOne may extract a document type, issuer, number, issue date, summary and expiry date. For receipts and invoices it may also identify a currency, total and line items. Open the original alongside the review screen and check the fields that matter. An order number, commercial coverage date and issue date can look similar, especially in a low-resolution image.
In the Review TidyOne AI suggestion screen, check the document category. If you are analyzing a warranty statement that does not represent another purchase, select the available equivalent of No financial transaction for the financial impact. A certificate is not a second payment. If the invoice already created an expense, check My money before accepting a second extracted amount. If an item is placed in the Documents to review queue, review it deliberately rather than confirming its suggested data without seeing the source.
Step 3 — Keep related evidence together without overwriting it
The Home Invoices & Warranties folder can hold the sales invoice, receipt and manufacturer statement. For an online order, also preserve the delivery record when the receipt date matters. The manufacturer may offer coverage for selected parts under conditions different from the seller's statutory duties. Preserve each source independently so you can identify which document supports which claim. Use the appropriate insurance or contract folder for a policy rather than putting every expiring file into the warranty folder.
When practical, give files meaningful names before uploading them, for example 2026-10-12_washing-machine_invoice.pdf and 2026-10-12_washing-machine_warranty.pdf. TidyOne can display the existing file name, issuer and other extracted metadata. Do not assume that a rename-after-upload control is present on every screen. If an older filename is vague, use the available category and issuer information; name new source files clearly from now on.
Step 4 — Distinguish legal guarantees from commercial warranties
For goods sold by professional traders to consumers within the European Union, EU rules provide a minimum two-year legal guarantee starting when the buyer receives the product. Member states may offer additional protection. This right is not the same as an optional commercial warranty supplied by a retailer or manufacturer. A commercial warranty cannot take away the minimum statutory guarantee. The rules may differ for private-to-private sales, some second-hand purchases, or situations affected by national law, so check the rules relevant to your purchase.
Suppose you order an appliance on 12 October and receive it on 16 October. Under the ordinary EU consumer scenario above, the receipt date—not simply the invoice date—is relevant to the legal guarantee's starting point. A separate manufacturer's "three-year warranty" must be read on its own terms, including its starting date and covered parts. Do not set "invoice date plus 24 months" as a universal rule. For insurance or other contracts, use the actual dates and notice obligations in those documents rather than applying rules for consumer goods.
For an official explanation, consult the Your Europe consumer guarantees guide. This article explains how to organize information in TidyOne; it is not individual legal advice.
Step 5 — Verify the date displayed in the document viewer
Open the document from the grid. The large viewer shows the category, issuer and other available metadata. If the system identified a date, it also displays an Expires row. You can zoom in on images and use cropping where supported; read the original PDF rather than relying only on the AI summary. If the viewer's date differs from the date stated in the document, investigate the difference before treating either as a planning deadline.
The viewer's Reminder button is shown only when the document has a recognized expiry date, either saved with the document or provided by the extraction. Its presence is not proof that the date is legally meaningful, and it does not mean an alert has already been scheduled. If the displayed date is wrong, do not create the suggested reminder for convenience. Use the manual workflow with the correct date and revisit any source metadata that can be corrected.
Step 6 — Create a reminder for a date you have checked
Option A: the viewer recognizes a verified expiry date
Open the file in the viewer and choose Reminder. The app asks how many days before expiry it should remind you, offering seven days by default. Enter the lead time that makes sense, such as 14 if you want two weeks to gather documents and check the warranty. TidyOne then attempts to create a one-time, high-priority reminder using the document type and issuer in its title, plus a note referring to the file. Look for the success message and open Notes & Reminders to verify the saved item.
Option B: no expiry was found, or AI found the wrong one
Go to Notes & Reminders → + Reminder. Enter a descriptive title such as "Review washing machine guarantee", select the date when you want to take action, a time and priority, and add a short note containing the filename and verified date from the source. For a one-off guarantee check choose Does not repeat. Only choose a recurrence if the action genuinely repeats—for example, reviewing an annual policy—after checking that contract's actual conditions.
Worked example: one appliance and three separate records
Illustrative scenario: you buy a washing machine online on 12 October 2026 for RON 2,399 and receive it on 16 October 2026. The retailer sends an invoice and delivery confirmation, and the manufacturer provides a separate commercial warranty covering specified components. Store the three files under Home Invoices & Warranties. Compare the original delivery evidence with the manufacturer's own terms before deciding which dates to track.
| Document or event | Example date | What to store or check |
|---|---|---|
| Sales invoice | 12 October 2026 | Archive purchase evidence; check whether the RON 2,399 expense is already in My money. |
| Delivery record | 16 October 2026 | Keep proof of receipt, relevant to the legal guarantee in the ordinary EU scenario. |
| Minimum EU legal guarantee reference | 16 October 2028 | Illustrative two-year reference; verify additional national protections. |
| Early review reminder | 2 October 2028 | Create a manual reminder 14 days before the checked reference date if useful. |
| Manufacturer statement | As stated in the terms | Keep any separate coverage duration, conditions and starting date. |
If AI returns 12 October 2028 simply by adding two years to the invoice date, do not accept it as verified: the appliance arrived later in this example. If the viewer displays the wrong expiry, set a manual reminder rather than relying on the incorrect one. If scanning the invoice already created the purchase expense, analyze the warranty statement with No financial transaction where available. You want one real purchase, not two RON 2,399 expenses.
Common problems and how to resolve them
| What happens | What to check | What to do next |
|---|---|---|
| The Reminder button is missing. | No usable expiry is recorded or extracted. | Create a manual reminder with the date checked in the original. |
| AI shows an implausible date. | It may have confused issue, delivery, start or expiry dates. | Compare the source files and do not use the incorrect value. |
| The purchase appears twice in expenses. | Both receipt and invoice were confirmed as separate purchases. | Compare actual transactions and remove only the duplicate record. |
| You cannot find the original PDF. | Wrong folder, ambiguous filename or unsuccessful upload. | Search by issuer, category and available date, and verify upload status. |
| No phone alert arrives. | External notification delivery is not enabled just by selecting the option. | Check the saved item in TidyOne and use an independent alert. |
| The reminder cannot be saved. | The plan limit may be reached or the date invalid. | Check whether an item was created before retrying, to avoid duplicates. |
Product limits, privacy and plan allowances
In the current configuration, Personal FREE allows four active reminders, with separate monthly limits for receipt scans and document analysis. Personal PRO has unlimited active reminders, while AI calls remain subject to the relevant plan limits. Check your current allowances under Plan & Usage. When you reach a limit, finish reminders that are genuinely complete, but do not falsely mark an important deadline as resolved just to free a slot.
Documents are stored privately, and sharing may use temporary links. Avoid placing a temporary link containing your address, phone number or purchase details in a public post. When communicating with a retailer, download the correct file and double-check the recipient. Where a document contains unrelated personal information, consider a redacted copy for sharing while retaining your original privately.
AI can propose a date but cannot decide whether a defect is covered under a particular commercial warranty, make a legal determination about a consumer dispute or submit a claim for you. Do not rely on a single extracted date when contesting a retailer's decision. Check your evidence and the rules that apply to the country and transaction; consumer-protection organizations may help with complicated claims.

Frequently asked questions
Can I upload an invoice and a warranty certificate separately?
Yes. Different files may establish different facts. Keep both when relevant, but do not create a second expense merely because you uploaded a second document.
Does TidyOne automatically calculate my two-year EU legal guarantee?
Do not treat an AI date as a certified legal calculation. Verify receipt date, applicable national rules and the seller's documentation. Make a manual reminder when needed.
Can I set a reminder when AI finds no expiry date?
Yes. Go to Notes & Reminders and use the verified date from the original. The document viewer button appears only when it recognizes an expiry.
Will TidyOne send me SMS, email or push notifications?
The current form indicates notification delivery is planned. Use the saved reminder for organization and a separate alert for deadlines you cannot afford to miss.
Will analyzing my warranty affect my budget?
A warranty certificate is not another purchase. Select No financial transaction when appropriate and check existing records in My money before confirming financial suggestions.
What if I bought the product in another country?
Check your seller's terms, delivery evidence and the consumer rules relevant to the sale. Your Europe provides general guidance on EU consumer purchases and national differences.
