Project / funder report is TidyOne's view of a whole project's activity: income and expenses recorded against the project, relevant supporting documents, donors and sponsors with linked contacts, fund movements and — when the project has a target — fundraising progress in the project's currency. In a project that supports several people, the project report keeps the original value of a shared transaction; the beneficiary/case report is the view that can isolate one person's allocated share. Before exporting, verify the project, reporting period, documents, currencies and the funder's actual rules.
What the project report answers — and what it does not
A nonprofit serving multiple beneficiaries needs two different views. The first is the project view: how much money entered the project, how much was spent, which categories were involved, what evidence exists and which funds were used. The second is the person view: what share of those transactions belongs to one beneficiary or one case. TidyOne keeps these questions separate so one shared payment does not have to be copied several times.
In Raport proiect / finanțator (Project / funder report), once a project is selected, transactions are filtered through the project's project_id. If a RON 900 transport expense belongs to the project and is internally allocated as RON 540 to Ana and RON 360 to Radu, the project report works with the original RON 900 payment. To inspect RON 540 or RON 360, use the beneficiary/case report with the Project filter left at Toate proiectele (All projects), which is how the current allocation logic is applied.
Before reporting: check the project structure
Open Proiecte & Fonduri (Projects & Funds) first and verify the project name, currency, target amount if one exists, linked beneficiaries/cases and relevant funds. A transaction that should appear in the project report needs the correct project link. If the same invoice or donation was entered twice, the report will reflect the duplicate; reporting is not an automatic deduplication step.
For a complete project report, start with Beneficiar = Toți beneficiarii (All beneficiaries), Caz = Toate cazurile (All cases) and Fond = Toate fondurile (All funds), then select the project. Extra filters are useful for a targeted check, but they change the question answered by the report.
Step 1 — Choose Project / funder report
In Rapoarte (Reports), choose Raport proiect / finanțator under Report type. Select the current year, previous year or a custom date range. For a grant or campaign, use the exact contractual reporting period instead of defaulting to a calendar year when the project has different start and end dates.
Under Proiect, select the project and click Actualizează raportul (Update report). TidyOne loads nonprofit transactions in the date range that carry that project. If you also select a fund, the financial selection is narrowed to transactions assigned to that fund.
Step 2 — Read income, expenses and balance by currency
The summary displays Venituri (Income), Cheltuieli (Expenses) and their difference. TidyOne groups figures by currency and renders separate amounts, for example RON 10,000 and EUR 500. It does not convert EUR into RON or merge the two into a single balance.
The finance section groups income and expenses by category + project + currency. In a report filtered to one project, the project name is naturally the same across the rows, while category and currency remain separate. Use these rows to catch classification problems, such as transport accidentally recorded as therapy.
Step 3 — How project target progress works
If the selected project has a target_amount, TidyOne shows a target card and progress bar. Progress is calculated from report income in the same currency as the project. For example, if the target is RON 20,000, RON 10,000 of income gives 50% progress. A separate EUR 500 donation can still appear in the income summary, but it is not converted or automatically added to the RON 20,000 target.
The visual progress is capped at 100%, so the bar does not overflow if fundraising exceeds the target. The label still shows the amount raised in the project currency. If you report an over-target result or income in additional currencies, explain it explicitly.
Step 4 — Where to verify project beneficiaries
The current project report does not contain a dedicated roster that automatically lists every beneficiary linked to the project. Project–beneficiary/case relationships are checked in Proiecte & Fonduri, while one person's financial activity is checked with Raport beneficiar / caz. This matters when preparing a funder report: do not describe a beneficiary list as report-generated if you obtained it from a different app screen.
If you select a beneficiary or case together with a project, the interface can restrict the available project choices and display case context. However, for the complete project total, keep beneficiary and case at their general options. For one person, generate a separate beneficiary/case report.
transaction_allocations in the same step. The project view therefore keeps the original transaction; the beneficiary/case report without a project filter is the safer view for the person's allocated amount.Step 5 — Review supporting documents
The document section calculates how many report expenses have a linked document through transaction_id. It shows the percentage of Cheltuieli cu document legat (Expenses with linked document), the number of AI-analysed documents and unanalysed documents. For expenses without a linked document, TidyOne lists up to the first 100 for review.
A document directly linked to a transaction included in the report can enter the report through that transaction link even when its own metadata does not mirror the transaction's project or date perfectly. That is one reason the document–transaction link is useful. For unlinked documents, the project/fund context and document date matter to filtering.
AI analysed does not mean accountant approved. Check the invoice, amount, supplier, issue date and payment evidence. An issued invoice does not by itself prove that payment was made.
Step 6 — Donors and sponsors
The Donatori și sponsori table uses only income transactions in the report that have a contact_id linked to a contact whose type is donor or sponsor. Amounts are grouped by contact and currency, sorted from the largest amount down, and the interface displays the first 20 donor/currency combinations.
A donation without a linked contact can still be included in the project's total income but will not appear in this table. If a funder needs a traceable source for each incoming payment, review donor contacts and sponsorship evidence before reporting; absence from the donor table does not necessarily mean absence from income.
Step 7 — Funds: inflows, outflows and “available”
The Fonduri section shows inflows, outflows and their difference for relevant funds. If a fund is marked Restricționat (Restricted), the label is preserved. The calculation is performed in the fund's currency; TidyOne does not automatically convert other currencies into it.
The displayed Disponibil (Available) amount is effectively inflows minus outflows from transactions in the report. It is not a legal conclusion about what the organization is allowed to spend. A sponsorship agreement, grant conditions or an internal decision may still restrict that money even when the arithmetic difference is positive.
Worked example: one shared project for Ana and Radu
Assume a fictional project called Access to Recovery, with RON as its currency and a RON 20,000 target. The project supports Ana and Radu. During the selected period it records RON 10,000 in donations plus a separate EUR 500 donation. RON expenses are RON 3,200 for therapy, RON 900 for shared transport and RON 1,500 for equipment. The RON 900 transport cost is allocated internally as RON 540 to Ana and RON 360 to Radu.
| Item | Project report | Beneficiary report |
|---|---|---|
| RON donations | RON 10,000 | Only the person's direct/allocated share |
| EUR donation | EUR 500 separately | Separate if relevant to the person |
| Shared transport | Original RON 900 | RON 540 Ana / RON 360 Radu |
| Total RON project expenses | RON 5,600 | Depends on the person's allocations |
| RON difference in period | RON 4,400 | Not derived automatically from project total |
The target card shows 50% from the RON 10,000 income against the RON 20,000 target. EUR 500 remains visible separately and is not converted for target progress. If a restricted Transport fund received RON 3,000 and paid RON 900 in this report, the fund table may show RON 2,100 as the difference; that does not replace checking the fund's conditions.
Step 8 — PDF, CSV and accountant ZIP
The base report can be viewed in the interface. PDF / Tipărește, CSV tranzacții and Pachet contabil ZIP depend on the reports_full_export entitlement; in the current UI, accounts without that access are told that full PDF/CSV/ZIP export is available in Asociație PRO.
The transaction CSV retains date, type, reported amount, original amount, allocation marker, currency, category, contact, beneficiary, case, project and fund. In a complete project report, amounts are normally the original amounts of project transactions. The ZIP contains tranzactii.csv, documente.csv, rezumat.json and available original documents. timeline-caz.csv is added only when the selection also contains a beneficiary or case.
When more than 250 documents are eligible, TidyOne warns that the ZIP will contain the first 250 original files while the document list remains in documente.csv. Open and inspect the package before sharing it.
AI narrative draft for the project
Generează draft AI sends the reporting function the selected report type, project, fund, date range and other filters. The interface states that AI works from TidyOne's calculated summary and does not replace accounting or legal review.
Use the draft for wording: what happened during the period, which categories were active and how the project progressed. Do not use it to decide whether an expense is eligible under a grant or whether restricted funds may be repurposed. Those decisions require the agreements, evidence and applicable rules.

Frequently asked questions
Does the project report automatically split a shared expense by beneficiary?
Not in the project total. With the project selected, the report keeps the original transaction. For one person's amount, use the beneficiary/case report and leave Project at All projects.
Why does an EUR donation not move a RON target bar?
Because target progress uses income in the project's currency. TidyOne does not perform automatic FX conversion.
Does the report list every beneficiary linked to the project?
Not as a dedicated roster in the current version. Check project links in Projects & Funds and use beneficiary/case reports for individual activity.
Why can a donation be in Income but not in Donors & sponsors?
The donor table only uses income transactions with a linked contact whose type is donor or sponsor.
Can a document dated outside the report period appear?
If it is directly linked to a transaction that is included, current logic can include it through that transaction relationship. Unlinked documents depend on document date and project/fund context.
Can I send the AI draft directly to a funder?
Treat it as a draft. Verify figures, evidence, eligibility and wording before sending it.
What to check after the project report
The project total should preserve real transactions once. Individual allocations explain distribution; they do not create another copy of the money.
